 12th EUROPEAN HEART AND LUNG TRANSPLANT GAMES

VICHY – FRANCE 21st – 26th June 2006.

Please find enclosed the invitation pack from the Vichy Organising Committee (FFAGCP), containing one set of registration and entry forms and further Games information. If you need more forms for supporters please copy before completing. All those wishing to attend must complete the relevant forms. By careful planning the organising committee have managed to reduce the cost of these Games compared with those of 2006 which makes these Games a very attractive package. They have also arranged that the majority of the sporting events take place in the morning which will give everyone the opportunity of participating in the social events which have been arranged for the afternoon.

Vichy is a compact town situated on one side of the Allier River with a 120 hectare Omnisports Centre on the other side. This means that all facilities, hotels, social and sporting venues are within easy walking distance.

I sincerely hope that you will be able to attend these Games. Those of you who have been before will know what a good time is in store. For those of you who will be attending for the first time let me assure you that you will have a very enjoyable time. You will have the opportunity to meet fellow transplantees from upwards of 17 European countries. As you will see from the enclosed information, a very wide and interesting sports and social programme has been arranged which all adds up to a good value for money experience for yourselves and any supporters who may wish to travel with you. Though the Games are competitive, they are also very friendly and you will be competing on a level playing field, as all your opponents will have undergone either a heart and/or lung operation.

Accommodation and Cost

All teams and supporters will be accommodated in the 2*/3* hotels in the town centre. The cost is confirmed at £370 per person based on 2 persons sharing a room. A limited number of single rooms are available at a cost of £446. These prices include ALL meals, transport from Clermont Ferrand airport to hotel, transport to sporting venues and the social programme. Transport from Lyon Airport to Vichy will be available, if requested at a cost of 25 Euros (return) per person. One additional night, before and/or after the designated Games dates may be booked using the enclosed form.

Any further extra nights must be booked by you direct through the Vichy Tourist Board Office. These extra nights may not be in the designated team hotel. It may therefore be necessary to move hotels. The cost of extra nights will be £36 p.p.p.n in double room and £60 p.p.p.n in a single room on a B & B basis. A number of optional tours have been arranged. Details of these including the cost are enclosed in the pack. The cost of any additional nights booked on the enclosed form and optional tours should also be paid in two parts. That is 50% when the initial accommodation deposit is due i.e. by 1st March and the balance by 15th April.

Payment

The first payment of £185 per person (double room) or £223 per person (single room) is due by 1st March 2008. The balance is due by 15th April 2008. When returning your completed forms, please send two cheques. The second cheque should be dated 15/04/08 and will not be banked until after that date. Cheques, in pounds Sterling, should be made payable to B.H.L.T.A. and sent to me at the above address. The reason for this method of payment is that we have to pay the organisers a 50% deposit by 15th March and the balance by 30th April. These payments have to be made in Euros and time is needed to ensure that the currency transaction is completed on time.

Travel

Please book your travel individually. There are three options open to you. Train, Car or Plane. It would appear that from my first enquiries those of you travelling from the Midlands may find that flying is the best option as a number of budget airlines offer a service to both Clermont Ferrand and Lyon. However, for those living in the London and South East Area is not so good. Easyjet do not fly to Clermont Ferrand but they do fly to Lyon and this may be your best option. I think the train is going to prove too expensive and a long journey with changes. If anyone does find a cheap and acceptable route by plane or train please let me know as soon as possible and I will circulate the information to the rest of the team. Remember that with budget airlines the later you leave it the more expensive the fare, so if you are coming - book now. I need to know your travel arrangements please.

Registration Form.

One form must be completed for each person attending. (Photocopy as necessary)

Sports Registration Form.

To be completed only by transplantees competing in sports.

Each competitor may take part in a maximum of 5 events + relays and volleyball.

Please ensure that you retain a photocopy of every form you complete.

Medical Form.

To be completed only by transplantees competing in sports. Please include your present medication. This form needs to be approved and countersigned by a doctor at Harefield. Please make arrangements to attend a clinic appointment between 12 May and 30 May. Your completed Medical form needs to be with me by 3 June latest as they are due in Vichy by 7 June. Please do not ask your G.P. to sign this form.

Throughout the Games, each competitor MUST carry with him/her AT ALL TIMES a copy of his/her completed MEDICAL FORM.

Please ensure you take a copy of your completed form before you send it to me. As a safeguard, I will also photocopy your medical form when I receive it and return it to you at the Games.

Administration

The size of the British Team is likely to be around 50 Adult transplants and 45 supporters which require a considerable amount of organisation. Your help in adhering to the due dates will be very much appreciated.

Please ensure that all Registration / Sports forms and cheques are returned to me by 1st March 2008 at the latest.
