Re: British Transplant Games – Sheffield 7th-10th August 2008

Please find enclosed application forms for this year’s British Games to be held in Sheffield.

A very warm welcome awaits our brand new (and existing!) team members, you will have a great time! We should have a bigger team this year, wouldn’t it be great if we could win back the Tesco Cup* and display it in outpatients to show everyone just exactly what can be achieved post transplant?! (*Award for Best Heart Team).

Please remember the following:

• You need to be 6 months or more post transplant to be able to take part.

• You can enter a maximum of 5 individual events (maximum of 3 from one discipline – track & field, swimming, badminton).

• In addition to your 5 events, you may enter the group relay events (eg 4 x100 metre relay) as an extra sport. Volleyball players please note it is no longer counted as a group event and therefore must be one of your chosen 5 sports.

• Please ensure you do not enter events which are on simultaneously, check the enclosed sports schedule. Do not worry about event codes – I will fill these in once you return your forms to me. Events List and Events Schedule

• There will be a fantastic subsidy awarded to each transplant competitor of £30 per night. The Hamsters will also be paying the £10 competitor entry fee. (We do have limited funds so please bear in mind the subsidy could go down if we have a very huge team this year as we do need to distribute it evenly! If you know of anyone who would like to sponsor us, please get in touch).

• Please make all cheques payable to HTC as the Hamsters will arrange a final payment to TSUK on behalf of the team. No refunds will be given.

• The closing dates for all forms and payments (excluding medical forms) to be returned to me is Friday 16th May. No forms by the deadline = no entry as some hospitals last year did not get their paperwork in on time which does not help the organisers, as I am sure you will understand. These include the following:

o Form E1 – Personal Details Form – Everyone attending the games (i.e. competitors and supporters) should complete this form

o Form A1 – Accommodation form – Everyone who wishes to book accommodation should complete this form

o Form E2 – Adult Competitor Form – All transplant competitors should complete this form

o Form E7 – Publicity form – All transplant competitors should complete this form

o Form E8 – TSUK’s got Talent – (If you wish to enter this – it’s not compulsory but is encouraged!)

• Closing date for medical forms (Form E6) to be returned to me is Monday 16th June. (These MUST be signed by a doctor from the transplant unit and not your local GP)

• To compete in the games you MUST be a member of Transplant Sport UK (TSUK). Please ensure you have renewed your membership or join, otherwise you will not be allowed to take part. Supporters are not required to join, but can if they so wish. Please refer to Form E5 - TSUK membership – Please ensure you fill this in if you are

not a member and send the cheque/form to Joyce Gill at the address stated on the form.

• Accommodation – This year the host for the official ‘Games Village’ is Sheffield University. Transport will be provided to and from events, so you won’t need to worry about getting around. However, as the rooms are student accommodation (brand new and all en-suite) they are all single rooms so if this doesn’t work for you please let me know as there are some hotels available in Sheffield but we will have to be quick. The accommodation available is great value for money, especially with the generous subsidy on offer to transplant competitors. Please refer to the ‘important information’ sheet for further details on the accommodation.

• Travel should be arranged and paid for individually as there are so many ways to get to Sheffield, please choose one which suits you (eg Car/Plane/Train etc). Again, please refer to the ‘important information’ sheet for more ideas.

• Saturday night – As usual Saturday night is a free night so I will be arranging a team dinner. If you wish to attend (at a cost to yourself) please indicate this on the accommodation form (A1) so I have an idea of numbers so I can start looking around for suitable venues. All suggestions are welcomed! It will be a great opportunity to socialise with the team and meet with new/old faces!

Accommodation Details - Games Village – University of Sheffield:

Rooms at the Endcliffe Village: The following rooms are available at the Endcliffe Village, the University’s main accommodation site.

Single Ensuite Rooms: The bedrooms are newly built offering exceptional value and comfort. The rooms are built to a good specification and are clean and comfortable, with a single bed, desk and private toilet and shower.

Check in is guaranteed from 1400. Rooms must be vacated by 10.00am on the date of departure.

Our bedrooms are single en-suite rooms for single occupancy unless otherwise agreed. Unauthorised dual occupancy violates our Health and Safety Regulations. Children under the age of 2 years old can be accommodated within a parent’s room. This must be indicated on the booking form and is subject to the parent providing their own travel cot and bedding. Recommended maximum measurements of the travel cot should not exceed 3 foot by 3 foot.

Bed Linen includes the following: 1 x sheet, 2 x pillowcases, 1 x duvet

Towels includes the following: 1 x hand, 1 x bath

Toilet roll

Soap

Coat hangers

Desk + chair

Mirror

Broadband internet access

N.B. Please note that a telephone point is not provided in the bedrooms. Mobile calls are subject to provider coverage.

The bedroom will be serviced as follows:-

Towels (1 bath, 1 hand) changed on Saturday 9th August 2008

Daily Bedroom clean includes the following:

Empty waste bins, clean mirror, make bed, damp dust all furniture, vacuum carpets.

Each flat has access to a communal lounge area, which can be ideal for team meetings. The communal social area includes the following:-

Ironing board and iron

Tables & chairs

Tea and coffee making facilities

Access to fridge

No crockery or cooking equipment is provided

Breakfast is served on-site at The Edge between 07.00am and 10.00am

Lunch is served on-site at The Edge between 12.30 and 13.30pm

Evening dinner is served on-site at The Edge between 18.00 and 20.00 approx **

AMENITIES

There is an onsite cafe which serves food and drink on a cash sales basis between 11.00 and 15.00.

We also have an onsite ATM for cash withdrawals.

Complimentary Wireless internet access is available in the communal areas of The Edge, subject to access.

The Main Reception area within The Edge provides a 24 hour contact point. In case of emergency our monitoring room can be contacted on telephone number 0114 2224075.

Bar : The Games Village also provides a bar facility. Children under the age of 18 must show appropriate accreditation and be accompanied by a responsible adult. Bar opening times to be confirmed.

Smoking/Pets: All of the buildings in the University are non smoking, including bedrooms and bar areas. No animals are allowed on site other than assistance dogs. Please indicate on the booking reservation if required.

Transport: Transport will be provided for all accredited personnel from the Games Village to all sport and social venues. It is the individuals responsibility to ensure they allow sufficient time to transfer to venues.

Parking: Parking is limited in Sheffield. There is very limited car parking at the Games Village, limited on-street parking is also available in the surrounding streets to the Endcliffe Village, subject to restrictions. Public transport is recommended wherever possible.

Information re: sports events:

Water: Please bring your own water, although the Games Team are hoping to provide bottled drinks through sponsorship. You will be able to buy drinks at the venues.

Seating: There will be plenty of seating at the Don Valley Stadium for the athletics on Sunday.

Age Categories:

The following Age Categories will apply to all Track, Field, Swimming and Racquet Events. In doubles, age of youngest of the pair will apply.

Veterans 45-59

Super Veterans >60

A parade of athletes starting at Sheffield City Hall, parading through the City Centre to the Town Hall to the Opening Ceremony in the Peace Gardens.

Afterwards, catch up with old friends and make new friends in the Student Union Bar

Sports Hall Athletics – Children and Siblings / Friday

This event is open to siblings, accompanying children and children of adult competitors.

Sports Hall Athletics - Friday 8th August - Transplant Children and Siblings.

Starting with the traditional obstacle race for transplant athletes, an opportunity to support your chosen athlete / team in this event which is a great start to the children’s sporting schedule.

Followed by the Sports hall athletics event which is back by popular demand – siblings and adult competitors children along with transplant children take part alongside each other in a variety of sports hall athletics events

Take part with your own team, learn new skills

and enjoy these special activities in a fun environment.
